Dart makes it easy for anyone to invite teammates. On the Personal tier of Dart, every invited teammate has the full permission-level of an Admin as described below. Individual spaces can still be shared or not shared with particular teammates.
Premium and Business tier accounts have the ability to designate preconfigured roles such as Members, Admins, Guests, and more.
Business tier accounts can access a higher level of granular access management through their support team at Dart.
βNote: Throughout this article we use "user" and "teammate" interchangeably.
Team and Roles
You can invite new users to Dart on the Teammates page in settings. Admins (or any user on a Personal tier) can remove teammates as needed from this page. Admins on a Premium or Business tier will also be able to configure roles for all teammates.
Admin
The Admin role gives full workspace control, allowing the user to change general settings for workspace preferences, manage other users' roles, remove users, configure custom properties, manage plans and billing, and set up workspace integrations and automations. Admins have access to the General space and any space shared with the entire workspace. They also have access to any private space shared specifically with them.
Member
The Member role allows the user to manage only their personal settings and integrations (such as ChatGPT and Claude) and to import and export tasks and docs. They can also make forms and invite other teammates. Spaces shared with the entire workspace are automatically shared with all Members in addition to Admins.
Guest
Guests don't have access to the General space, or any space that they aren't specifically added to via the space sharing settings. By default they only have access to their own Personal space. They cannot access general workspace settings, workspace integrations, or properties. However they can manage their personal settings, personal integrations (such as ChatGPT and Claude), and export. Four Guests can be added to any workspace per non-Guest user for free.
Technical Admin
Technical Admins do not have access to the General space or any space they aren't specifically added to besides their Personal space. They do not appear in user menus such as the assignee field. They do not have access to edit general workspace preferences or properties, however Technical Admins can set up and configure any of the company integrations as well as SSO and SCIM provisioning. This is a good role for someone in the IT department that doesn't actually use Dart with your team but needs to be able to set up integrations or other technical things for your team.
Financial Admin
Financial Admins do not have access to the General space or any space they aren't specifically added to besides their Personal space. They do not appear in user menus such as the assignee field. They do not have access to general workspace configuration, properties, or integrations. However, Financial Admins specifically have access to the Plans and billing page where they can pay for Dart or manage the subscription and invoices. This is a good role for someone on the finance team who just needs access either for receipts or to pay for Dart.
Permissions
You can generally manage permissions on a space by space basis. An Admin can go to settings and scroll down to the various spaces. Select a space and in Sharing choose "Specific teammates" to provide access to any teammate including Guests, Technical Admins, and Financial Admins.
Alternatively if you want the space to be shared among all Admins and Members, but not with any Guests, Technical Admins, nor Financial Admins select "Entire workspace".
Plans and Billing
To have more than four teammates in a Workspace and to set specific roles upgrade to a Premium or Business plan.
Workspaces can add four Guests per non-Guest user at no additional charge.
